According to POLIMI’s Digital Innovation Observatories, Italian SMEs are increasingly using management software.

And they do so mainly for administrative and accounting management (88 percent of cases), personnel management (61 percent) and management control (58 percent). This is followed by logistics and warehouse management (54 percent), document management and workflow (53 percent), procurement and production management (50 percent), and finally CRM (42 percent).

The report, just cited, by AssoSoftware emphasizes the importance of the software sector for the economic growth and innovation of Italian SMEs, while also highlighting the challenges and opportunities in the digitalization journey.

Importance of the digital sector: digital is increasingly crucial to a country’s economic value and international competitiveness. In Italy, the software sector is strategic for economic and employment development.

Digital Gap: Despite, however, the above, Italy still has a significant gap in the level of digital development compared to other European countries, thus representing an opportunity for growth.

Maturity in using management software: a maturity index was developed that considers four dimensions:

  1. adoption of software
  2. IT organization and digital skills
  3. process integration

In 2023, the overall maturity index for Italian SMEs increased, indicating progress on the path to digitization.

Benefits of more mature SMEs: SMEs with a higher score on the maturity index experience better economic performance, both in terms of turnover and margins.

Diffusion of management software: document and workflow management and administrative and accounting management are the most popular modules in Italian SMEs. However, adoption of new digitization initiatives may have been slowed by the uncertain economic environment.

Business process review and integration: SMEs are increasingly reviewing and integrating their business processes in response to the implementation of management solutions. However, there is still room for improvement in the balance between solution customization and process standardization.

Organizational change and digital skills: developing a strategic vision on digital and investing in digital skills within companies is essential. Partnerships with software vendors play a key role in helping SMEs fill skill gaps.

Government incentives and strategic vision: government incentives and a strategic business vision are enablers for SMEs’ digital growth, especially in an environment of limited economic resources.

The diffusion of management software in SMEs

The diffusion of management software in SMEs was the subject of an in-depth survey involving a large sample of more than 500 companies operating in different sectors.

The results reveal stability in adoption rates in the SMB sector in 2023, with the exception of Document and Workflow Management, which saw a 5 percent increase, with an overall adoption of 53 percent. This increase is attributable to the growing prevalence of Smart Working, which has prompted organizations to streamline flows and processes through automation and digitization of business documents.

Administrative and Accounting Management remains the most popular software solution, with an adoption rate of 88 percent, particularly due to the mandatory electronic invoicing. Other areas such as Personnel Management, Management Control, and Logistics and Warehouse Management maintain stable adoption rates.

Despite the uncertain economic environment, the software market is showing signs of consolidation, with more SMEs deciding to fully upgrade their adopted solutions. However, many companies still prefer to customize software according to their functional needs, especially in the areas of Procurement and Production and Personnel Management.

Application integration between different software is improving, but it still remains low, with 43 percent of SMEs not providing automatic exchange of information with management and other third-party systems.

In general, the industry is characterized by changing needs, and many companies choose different solutions to best meet their needs. However, SMEs that are more mature in their use of management software are more competitive and experience significantly higher growth rates in turnover and Ebitda than others.
